Administrative Assistant (Chestnut Hill, MA)
Enthusiastic and hardworking administrative professionals with experience who are interested in real estate and property management industry who are looking to add depth to their skill set, will find a great opportunity as the Administrative Assistant to Senior Management team members. Your work will be varied and interesting.

Specific Duties:

  • Provide administrative support to the including working on projects, handling documents of a confidential nature and spreadsheet creation and maintenance.
  • Prepare weekly and monthly reports and presentations for the Senior Leadership Team and other executive committees.
  • Schedule and coordinate arrangements for special events such as departmental off-site meetings and employee functions.
  • Build and maintain positive relationships and rapport with internal employees and external associates
  • Coordinate distribution of sporting and special events tickets to staff
  • Maintains internal filing and archive systems.
  • Screens and prioritizes incoming calls/correspondences and responds accordingly and independently.

Requirements:

  • Very strong written and oral communication skills

  • Two to five years' experience in an administrative support role required.

Administrative Assistant/Accounting (Chestnut Hill, MA)
We are seeking a full time Construction/Accounting Assistant to provide overall support services for construction managers at our corporate office of Chestnut Hill Realty.

KEY DUTIES

Functional:

  • Contract enforcement including tracking, filing, and monitoring of signed contracts, insurance certificates (tracking subcontractor's expiration dates of General Liability, Worker's Comp and Auto Insurance certificates), subcontractor's Contractor's Licenses and tracking expiration dates, city business licenses, W9's, safety documents; correspondence and filing said documents electronically.
  • Request & track lien releases on required projects and maintain log in a time efficient manner.
  • Processing and coding of accounts payables invoices.
  • Support Construction Administration team with subcontractor phone calls, payment notifications, and filing.
  • Bookkeeping related projects as necessary
  • Various special projects as needed.

SKILLS, KNOWLEDGE, EXPERIENCE

  • At least 1 year of experience in a supporting role of Construction Management or General Contracting Administration/Project Assistant to Project Managers/Estimators and/or an Accounting background is strongly desired
  • Ability to add, subtract, divide and calculate percentages with the ability to set up simple spreadsheets & forms.
  • Proficient with Microsoft Office applications (including Outlook, Word, and intermediate Excel), Computerized data entry (Timberline preferred), and electronic file organization.
  • Superior communication and interpersonal skills (tact, diplomacy, etc.) essential as well as the ability to interface with personnel at all levels
  • Must be self-motivated, a self-starter and have a positive attitude.
  • Ability to focus and follow through to completion of projects.
  • Possess the ability to set priorities & plan.

This person will provide oversight and direction for one or more large Capital Improvement projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Participates in pre-planning activities and cost benefit analysis for all phases of work.
  • Create and manage detailed project budgets. This includes tracking budget reallocations, change orders, expenditures, forecasts and analysis on a regular basis.
  • Prepares bid packages, including developing scopes of work, and recommending award to contractors.
  • Responsible to assure contractor is abiding by contract terms and construction drawings.
  • Responsible for continuous communications with the Senior Construction Manager and superintendent(s) to coordinate manpower, material and subcontractor needs.
  • Maintains current project contract status information and cost data for project control, analysis, and reporting.
  • Monitors performance of on-site Superintendent and staff to ensure project is built on schedule, within budget and with CHR quality standards including CHR Safety Program and OSHA regulations.
  • Initiates and maintains liaison with municipal organizations to facilitate construction activities.
  • Will represent CHR Construction in project meetings and asset team meetings
  • Must have complete understanding of construction drawings and evaluating contractors estimates

POSITION REQUIREMENTS:

  • Bachelor's degree in architecture, engineering, construction management or a related field or commensurate experience.
  • At least three years' experience in multifamily construction project management.
  • Knowledge and understanding of established construction practices/techniques.
  • Ability to read detailed plans/blueprints.
  • Must be able to handle multiple projects, changing priorities and steady workloads.
