Apartment Leasing Representative - Entry Level (Chestnut Hill, MA)

The Leasing Representative role is primarily a sales and customer service position. As a Leasing Representative you will build relationships with prospective residents, identify needs, show apartments, overcome objections, and close the deal by obtaining the lease paperwork and a check for one month's rent. You will manage the entire leasing process from start to finish.

Leasing Representative Responsibilities:

. Understands the product and how to sell the advantages of living at the apartment community.

. Answers incoming telephone calls and replies to all email leads in a timely fashion.

. Tours prospective residents.

. Qualifies prospective residents by running background checks and verifying income.

. Prepares lease documents and schedules lease signings in a timely fashion.

. Follows up with prospective residents.

. Other responsibilities as assigned.

This position will require working at least one weekend day as part of the regular schedule as well as some holidays (our site offices are only closed on Thanksgiving Day, Christmas Day and New Year's Day). Assistant Property Manager/Leasing Consultant (Portsmouth, RI)
Chestnut Hill Realty is seeking a motivated self starter to join our team as the Assistant Property Manager of a 130 apartment building located in Portsmouth, RI. The primary responsibility of this position is to meet the property's occupancy goals by performing all leasing/sales functions at a high level of proficiency, set appointments, conduct tours, accurately track, report and follow through on all sources to maximize leases. Will also assist the Property Manager in the general administration of the property and perform all related management functions, including, but not limited to approving move-in files, promoting lease renewals, resident relations, collections, and any other duties or responsibilities that may be assigned by the Manager.

The ideal candidate should possess strong communication skills, both verbal and written; impeccable customer service skill; marketing skills; and a professional demeanor at all times. Must be proficient in MS Office. Must be willing to work flexible hours (hours will be 10 to 6 on Tuesdays and Thursdays and will be asked to provide coverage on holidays; must be flexible on work hours for evening appointments and resident events as well as willing to provide occasional coverage on weekends). Construction Projects Administrator (Chestnut Hill, MA)
We are seeking a Construction Projects Administrator to provide overall support services for construction managers at our corporate office of Chestnut Hill Realty.

Key Duties (Functional):

  • Prepares and disburses contracts as directed.
  • Responsible for construction documents disbursement and tracking.
  • Processing and coding of accounts payables invoices.
  • Creates and maintains submittal logs.
  • Prepares Bank requisitions from subcontractors and suppliers.
  • Prepares and tracks bid packages.
  • Responsible for new vendor setup process.
  • Administers purchase orders and change orders.
  • Maintains up-to-date project progress information.
  • Prepares end of job construction warranty manuals.


ORGANIZATIONAL RELATIONSHIPS:

  • Reports to Senior Project Manager.


COLLABORATION (Works with):

  • Development Director when required.
  • Client's service providers, vendors etc. to provide quality and protect Chestnut Hill Realty interest.


SKILLS, KNOWLEDGE, EXPERIENCE:

  • Extensive (5 or more years) experience as a construction administrative role required.
  • Must be able to apply innovative and effective office management techniques to interact with office staff.
  • Proficient at Microsoft Word, Excel, PowerPoint and Outlook. Knowledge of Yardi preferred but not required.
  • Thorough understanding of corporate and industry practices, processes, standards, etc.
  • Superior communication and interpersonal skills (tact, diplomacy, etc.) essential as well as the ability to interface with personnel at all levels
  • Experience in the construction industry required.
  • Computer literate required.

Rapidly growing real estate property management firm seeks a well-rounded systems professional to assist in day-to-day operations and end-user support. Responsible for end user desktop support of the existing technology infrastructure including Windows 7/8 desktops and notebooks running Microsoft Office 2013 over a Windows local area and wide area network. Also responsible for assisting in network administration, user training, and procedures documentation. AR AP Accountant (Chestnut Hill, MA)
Growing property Management Company has an opening for an AR/AP Accountant. He or she would be responsible for posting property invoices, checking payables for accuracy, and executing bi-weekly check runs. He/she may have a small amount of financial reporting duties. The ideal candidate would have knowledge of accounting and financial principles.

This Property Accountant position reports to the Assistant Controller and performs the following functions:

  • Maintain all aspects of Accounts Payable including coding, auditing, posting to A/P system, payment, and filing.
  • Maintain all aspects of Accounts Receivable including posting of cash receipts, bank deposits, posting and reconciling charges and adjustments.
  • Prepare and perform check runs bi-weekly and as needed.
  • Communicate and interact with Property Managers and others to resolve questions regarding financial data, vendor issues and tenant account status.
  • Assist in preparing quarterly reserve requests.
  • Complete special projects/assume additional responsibilities as assigned.
  • Provide coverage as necessary for Reception, including operating switchboard, maintaining access to building, and greeting visitors.

Must demonstrate proficiency with MS Office: Word, Excel, and Outlook. Experienced with computerized accounting systems including: General Ledger, A/P and A/R. Experience with Yardi property management/accounting software is highly desirable. This position requires strong attention to detail, timelines and procedures. Successful candidates should be motivated self starters with a desire to advance and succeed in a busy, high volume environment. They will have strong organizational skills, and the ability to follow procedures and systems. Effective verbal and written communication skills, interpersonal and problem solving skills are a must. Administrative Assistant (Weekends required) (Chestnut Hill, MA)
As the Receptionist at Hancock Village, you will have the opportunity to learn all aspects of property management including sales and marketing and customer service. He/she will provide support to the leasing team and assist the property manager as necessary to ensure the property can maintain a sales focus and achieve its occupancy and revenue goals. Schedule will be Saturday (10 to 4), Sunday (10 to 4) and Monday (9 to 5), Friday (9 to 5) with an additional week day to be determined.

Duties include but are not limited to:

  • Resident Relations including greeting walk-in customers and answering general inquiries and scheduling resident reservations in the calendar for room reservations
  • Accurately and efficiently prepares and assists with all leasing paperwork (e.g., guest cards, applications, lease agreements and utilizing leasing technology to distribute leads
  • Plan and organize resident events and functions
  • Answering incoming phone calls and routing appropriately. Schedule appointments for other staff members
  • Perform clerical duties, such as photocopying, typing, faxing, mailing documents and responding to and sending e-mails. Monitor and order office supplies

Qualifications:

  • Minimum of 1 year office support experience

Planning & Design Project Coordinator (Chestnut Hill, MA)
The Planning & Design Project Coordinator will be an integral part of the Planning and Design team. This person will assist the Director of RE Planning & Design/Owner's Rep and Planning & Design Project Manager on managing all aspects of special projects from design to completion. This person will work closely with the Director and Project Manager on design decisions and selections. Manages and coordinates on-site supervision of installations, working closely with installation contractors and other trades to ensure project progresses according to plan. Report project status and decisions to our property management division.

Qualifications:

  • Bachelor's degree in Design or Construction/Development preferred.
  • Working knowledge of Microsoft office (Word, Excel and Outlook).
  • Ability to read and understand construction drawings, furniture specification plans and other architectural drawings
