Administrative Assistant (Brighton, MA)
Chestnut Hill Realty is seeking a motivated Administrative Assistant to manage the daily requirements of a busy reception desk as well as provide assistance to the property management staff in overseeing operations of our apartments located in Brookline, Brighton and Cambridge.

Under the direction of the Assistant Property Manager, the Administrative Assistant is responsible for answering all incoming calls and handling daily mail for our property management office in Brighton. Provides administrative support for property management and monitors office supplies. Specific duties include answering/screening incoming phone calls, filing and other general administrative duties. The Administrative Assistant will also work with the property management team to approve incoming applications for prospective residents and process monthly rent checks as well as assisting the maintenance supervisor with a variety of tasks.

The ideal candidate should possess strong communication skills, both verbal and written; excellent phone and customer service skills; and the ability to handle multiple tasks at once. Must be proficient in MS Office. High school diploma or equivalent required. Prefer a minimum of one-year reception/office experience.

Requirements:

  • Proficiency in Microsoft Excel and Word is required.
  • Strong organizational skills.

We currently have an opportunity for an experienced HVAC technician with at least five years experience and with a high school diploma at the Regency Plaza, a 400 plus unit luxury property located in downtown Providence. As the HVAC Specialist, your will use your customer service skills and attention to detail to ensure resident satisfaction. Must also have working knowledge of basic plumbing and electrical along with current driver's license in good standing. Chestnut Hill Realty is looking for an Assistant Maintenance Supervisor with apartment maintenance experience. The position is located at Hancock Village, a 789 unit Class A property in Chestnut Hill. The Assistant Maintenance Supervisor manages administrative support for the Maintenance Department while working with the Maintenance Supervisor to insure that all apartment units and other property facilities are in good working order and maintained to acceptable standards for CHR and for residents. This position delegates tasks and assignments to maintenance and other staff or performs tasks as needed, including service requests and preparing a unit for rent availability (market ready). Keeps in close communication with the Maintenance Supervisor to discuss individual issues and to insure that goals are being met. Assists in hiring, training, and developing staff. Responsibilities:

  • Provides administrative support for the maintenance department including; creating, maintaining and updating weekly excel reports as well as the on call schedule.
  • Coordinate, schedule and manage the preparation of vacant apartments for move-in. Keeps Techs on schedule to make market ready turns of vacant units as fast as possible.
  • Assist in coordination of maintenance staff and contractors to complete work orders to company guidelines.
  • Assists other maintenance personnel with complex work orders or when more than one associate is needed to complete the job.
  • Keeps and maintains preventive maintenance schedule and assigns tasks to get it completed.
  • Maintain and order supplies within budget guidelines
  • Hears resident complaints and resolves in the best manner possible.

Requirements:

  • Intermediate computer skills including Microsoft Word and Excel and strong written and verbal communication skills are required.
  • Minimum of 2 years previous experience in residential property management maintenance or other building maintenance.
  • Good organizational skills
  • Ability to guide and direct the work of others.

Construction Project Superintendent (Plainville,MA)
We are looking for an experienced Project Superintendent with experience as the lead Super on ground up construction projects.

Chestnut Hill Realty, one of New England's leading full service real estate companies, has an immediate opening for a Construction Superintendent in our rapidly expanding Construction division. The ideal candidate should be able to work with a great deal of independence and authority, using their problem solving skills to successfully manage the completion of a fast paced construction project.

The Project Superintendent oversees the construction of a new exciting upscale Clubhouse at our Village Green apartment complex located 20 miles south of Boston in Plainville. This person will ensure the project is built on schedule, within budget and with our quality standards. The project is scheduled to run from September 2014 to June 2015. Late nights and weekends are not required unless necessary to meet finish schedule. Additional work expected to be available at the end of the project.

  • Manage construction process and field operations for assigned project.
  • Coordinates, directs, and supervises the work of subcontractors and laborers on site to assure that projects are completed within prescribed schedules and budgets, in compliance with Chestnut Hill Realty policies and procedures, and in accordance with federal, state, and local regulations.
  • Develops and maintain site logistics plan
  • Coordinates work activities with property Staff so as to minimize disruption to the residents

Experience

  • A minimum of 3 years experience as a construction Superintendent preferred.
  • Demonstrated proficiency in these areas: managing site activity, anticipating and resolving field related issues, establishing and enforcing site schedule requirements, managing site safety and insurance risks, interpersonal skills, and ability to communicate both written and oral.
  • Undergraduate degree in civil engineering or related field preferred.

    Maintenance Technician (Chestnut Hill, MA)

    Receptionist (Chestnut Hill, MA)
    As the Receptionist at Hancock Village, you will have the opportunity to learn all aspects of property management including sales and marketing and customer service. He/she will provide support to the leasing team and assist the property manager as necessary to ensure the property can maintain a sales focus and achieve its occupancy and revenue goals. Schedule will be Saturday (10 to 4), Sunday (10 to 4) and Monday (9 to 5), Friday (9 to 5) with an additional week day to be determined.

    Duties include but are not limited to:

    • Resident Relations including greeting walk-in customers and answering general inquiries and scheduling resident reservations in the calendar for room reservations.
    • Accurately and efficiently prepares and assists with all leasing paperwork (e.g., guest cards, applications, lease agreements and utilizing leasing technology to distribute leads.
    • Plan and organize resident events and functions
    • Answering incoming phone calls and routing appropriately. Schedule appointments for other staff members.
    • Perform clerical duties, such as photocopying, typing, faxing, mailing documents and responding to and sending e-mails. Monitor and order office supplies.

    Qualifications:

    Staff Accountant/Senior Property Accountant (Chestnut Hill, MA)
    We are searching for a Staff Accountant for our Corporate Accounting department. Under the direction of the Assistant Controller, the Staff Accountant will provide accounting support for Chestnut Hill Realty.

    Primary Duties:

    • Maintain general ledgers, supporting reconciliations and supporting documents.
    • Prepare Financial Statements.
    • Assist with budget preparation.
    • Financial statement analysis / budget variance analysis
    • Perform tenant / unit owner account reconciliation and inquiries.
    • Ensure bank reconciliations are prepared and reviewed timely on a monthly basis
    • Perform general ledger reconciliation
    • Identify and solve errors in account balances and make appropriate adjustments
    • Interface with and provide assistance to property managers.

    Knowledge/Experience:

    • Must have a minimum of 2 years of practical accounting experience
    • Bachelor's degree with concentration in Accounting
    • Basic understanding of the accounting cycle, account classifications, debits and credits
    • Strong analytical skills
    • Good computer skills; knowledge of Microsoft Office applications
    • Strong time management skills and ability to meet deadlines.
    • Detail oriented with great communication and organizational skills
